Who We Are

We are Zetique. We empower small businesses to stay on top of their finances. We pride ourselves on being an innovative boutique bookkeeping company, always evolving and pushing into new dimensions.

We consider ourselves saviours of small businesses. Far too often, our clients are overlooked by larger firms, dismissed as merely pursuing ‘hobbies’, and left feeling neglected and unworthy of financial assistance. We are here to guide them, answer their questions, put their numbers in order, and become a part of their team.


Timeline of Zetique’s History

September 2016

Company founders, Jayne and Hassan, officially registered in Ontario, Canada as JnH Bookkeeping.

Jayne, the initial bookkeeper, and Hassan, who served as the assistant bookkeeper and administrator while also researching business operation strategies, together navigated through the unfamiliar terrains of entrepreneurship. We had only three referred clients and new baby Kozmos was just four months old. Our motivation was to develop a digital business model that could operate remotely, affording us the flexibility to relocate to Puebla, Mexico on October 30th, 2016, along with our newborn child and the nascent business. We were keen to test the viability of this business model.

Apr 30 2017

We moved back to Toronto. The number of clients had grown through word of mouth because of high quality service. We focussed on a clear vision – to build a brand synonymous with quality and reliability, which would empower our clients. We identified a niche in serving small business owners who were being overlooked by larger bookkeeping companies.

Our guiding principles have always centered on fostering a collaborative and inclusive work environment. To support this, we decided to offer flexible work arrangements which allow our team members to work from anywhere and set their own schedules.

Sept 06 2019

We decided to change the name to “Fewer Hats Bookkeeping”, and officially registered the new name in Ontario. No website, no social media, no logo, and no advertising – just loyal clients.

Sept 26 2020 and present

We discovered, due to a copyright issue, we had to change our name. We chose ZETIQUE.

Welcome to Flatland

Our team operates in a pod structure with an emphasis on collaboration and shared responsibilities. This promotes greater communication and gives our team members freedom to make decisions towards the success of Zetique. Our founders are always ready to support our team.

Hence, Zetique adopts a flat organizational structure (though, we should clarify, we fully acknowledge that the earth is not flat). This is our concise way of expressing that we have limited hierarchy. We encourage every team member to view this company as theirs to guide—toward opportunities and away from risks.

  • You have the greenlight to create your own space and place while putting your clients first. Every company will tell you that “the customer is the boss,” but here that statement has weight.

At Zetique, we’ve pioneered a dynamic, efficient, and effective structure for our teams – the Pod. Every Pod is autonomous and driven by specific goals, defined and inspired by our corporate vision. A typical Pod consists of 3-4 highly skilled bookkeepers, working together in unison, with an unrivaled focus on achieving exceptional results for our clients.

Every Pod is self-sufficient and takes full responsibility for its performance and results. From conducting internal meetings to managing workflows, our Pods operate independently but never in isolation.

The competency mix within each Pod varies, reflecting Zetique’s broad skill scale, ensuring a comprehensive service delivery to our clients.

All members of our Pod are highly competent professionals in bookkeeping and accounting. Their proficiency levels, based on Zetique’s skill scales, equip them to handle diverse client tasks, ranging from meticulous data entry to stringent quality control.

Pod guidelines – our path to success



We strongly advocate for the significance of the maker’s schedule. Pod members decide when to have a meeting. And if they have a meeting it’s very short and focuses on problem-solving and decision-making related to specific processes, clients, or tasks. These sessions, lasting 30 minutes, were facilitated by team members, chosen by rotation to foster a democratic environment.

Decision Making

90% of the decisions are taken autonomously within the Pod, such as scheduling meetings or handling client handovers, holidays, and customer success, client zoning, needing more team members, increasing client fee, recruitment and interviews, setting new goals, etc. For company-wide decisions, such as budget, changing pricing, or firing a headache client, higher-level approval is sought.

Our aspiration is to transform 90% of our clients into zealous Zetique “Green zone”, maintaining a zero-client count in the “Red Zone ”.


Pod responsibilities – is all about delivering excellence.

  1. Pod Management and Quality Control: Our Pods take a proactive role in overseeing their operations, ensuring high-quality bookkeeping, and exercising strict control over all accounting records. They set their own goals, track outcomes, and focus on continual performance enhancement.
  2. Client Communication and Profile Maintenance: Our Pods maintain ongoing and transparent communication with clients. This regular interaction facilitates accurate profile updates, reinforced by quarterly in-depth reviews with the POD Centre to ensure all information is precise and up-to-date.
  3. Financial Report Analysis and Feedback: Offering more than mere bookkeeping, our Pods analyze clients’ spending patterns and overall business health. Through regular financial report analysis and providing meaningful feedback, we give clients valuable insights to aid decision making and growth.
  4. Client Follow-up System and Introductions: We believe in nurturing strong relationships. To this end, our Pods implement and maintain a robust client follow-up system, ensuring clear and consistent communication. We also introduce new clients to the Pod team, creating a bond right from the outset.
  5. Team Expansion and Pricing: Attuned to the need for growth, our Pods can identify when additional team members might be necessary due to increasing workflow. They also have the insight to recognize when pricing adjustments may be required. The Pods provide recommendations for hiring, onboarding, and pricing to ensure optimal performance.
  6. Client Handovers and Collaboration: Change is a constant in any dynamic business environment. Our Pods ensure a smooth transition during client handovers, maintaining consistency and quality. They actively collaborate with other pod leaders to tackle more complex issues, leveraging collective expertise for the best outcomes.

These tiers reflect the range of skills within our organization, allowing us to reward team members at different levels of proficiency. Advancing in the Scale:

Team members have the opportunity to advance within the pay scale system based on their professional development and continuous improvement. Advancement is achieved through a combination of experience, further education, training programs, and successful performance evaluations.



The pay scale system directly influences the remuneration team members receive. As individuals progress through the scale, their remuneration increases accordingly. Your first days at zetique

So, you’ve gone through the interview process, you’ve signed the contract, and you’re finally here at Zetique. Congratulations, and welcome. Zetique has an incredibly unique way of doing things,WE ARE DIFFERENT, but we know it can take some time to get used to the Zetique working model.

This manual was written by people who’ve been where you are now, and who want to make your first few months here as easy as possible



This is your first three months. Here is a glimpse of what happens:

So now you know where to find your client folders, how to use your Kanban and what tasks need to be done. You know your team members. You’re even pretty sure that you know what the only guy’s name is. You’re not freaking out anymore. In fact, you’re ready to show up to work with enthusiasm, turn on your computer, and then what? This next section walks you through figuring out what to work on. You’ll learn about how tasks work, who will help you troubleshoot and more.

What to work on

  1. Assignments: your team lead will  create for you your assignments. They will always be next to you to help you with anything you need. Doing your first assignments will determine your growth in Zetique. You will learn new skills and new approaches.
  1. FAQ’s: You will have lots of questions to ask not only your team lead but everyone in the company (don’t worry, we are a small team). This is your chance to deeply understand our core values, our vision, and our mission. So, the opportunities for learning are huge. Take advantage of this fact whenever possible: the more you can learn about the team dynamics, data entry, reconciliation etc. the more valuable you become.
  1. Team contribution: You will be participating in our monthly team catch ups. You will be requested to organize and come up with your own ideas. Remember, everyone is ready to help you.
  1. Training: You will have step by step learning video materials ready for you. Watching the videos and understanding by doing it will help you a lot, plus everyone is ready to answer all your questions anytime.


Next to work on

  • By this point, three months in, you should have a clear understanding of your strengths and areas requiring further development and support. You feel comfortable working within the Pod
  • We usually conduct  a short meeting to discuss your goals and career growth and how we can help you. We will explore if we match each other. If Zetique makes you feel home
  • We are interested in your ideas – how can we make Zetique better? What did you experience that could be improved on? Having fresh eyes on the business leads us to make things even better.

It’s time to grow

Working at Zetique provides an opportunity for extremely efficient and, in many cases, very accelerated career growth. In particular, it provides an opportunity to broaden one’s skill set well outside of the narrow constraints that bookkeepers can have at most in other companies. So the “growth ladder” is tailored to you. It operates exactly as fast as you can manage to grow. You’re in charge.

Putting more tools into your toolbox

By now it’s obvious that your role is clear, your responsibilities are defined, and your expectations are met. You will get specific training for specific tasks. You will get all the skills necessary to do end to end bookkeeping. In this period, we don’t have an exact timeline to follow. You can jump into the next stage soon after you feel comfortable and fully confident working at Zetique. In this phase, you will begin communicating with clients through email before transitioning to face-to-face interactions.

Tiera means earth in Latin, so now you are on planet Zetique. It was an exciting time going through all the evolutionary processes and now you have landed on Zetique planet – welcome onboard.

There are not many words to tell you here. You are the matrix of Zetique. It’s your individual commitment to the team effort: That is what makes a team work, a company work, a society work, a civilization work, Zetique work.

Welcome to Planet Earth, to the flower stage where you bloom and start to be in charge of your own clients. There is no timeline to follow. You have complete control and autonomy.

That’s why our full-time team members receive an additional CAD$100 every month for any health-related expenses. Office Equipment Allowance:

Working efficiently and comfortably is crucial, especially when working remotely. To assist with your productivity, our full-time team members receive CAD$100 every six months to cover any office equipment expenses. Whether it’s a new ergonomic chair, a standing desk, pens/ pencils, or other essential tools, we’ve got you covered.


Here’s a brief overview of how it works:

The Office Equipment Allowance is exclusively available to our full-time employees and can be used to cover any expenses such as the following: 

  • Computer equipment: This includes desktops, laptops, monitors, keyboards, and mice.
  • Internet and phone service: This includes the cost of a reliable internet connection and phone service.
  • Office furniture: This includes desks, chairs, and other necessary furniture.
  • Other office supplies: This includes office supplies such as paper, pens, pencils, notebooks, sticky notes, etc.
  • Professional development courses: This includes any courses where our bookkeepers can acquire new skills and knowledge relevant to their role and responsibilities. Examples of such platforms are Coursera, Udemy, and EDX.

The allowance is provided every six months, aligned with Zetique’s fiscal year. The first period runs from April to September, and the second period spans from October to March.

 To utilize the allowance, you will need to submit receipts for the office equipment purchases to our HR department. Once your receipts are approved, you can expect the reimbursement to be deposited into your bank account within one week of submitting the claim.

The Office Equipment Allowance is not accumulative. This means that any unutilized portion of the allowance from one period cannot be carried over to the next period. We encourage you to make the most of the allocated allowance within each respective period to enhance your workspace and productivity. Any unused amount will not be carried forward, so we recommend planning your office equipment purchases accordingly to fully benefit from this allowance.

We want to ensure transparency and provide you with all the necessary information. Therefore, the complete Office Equipment Allowance policy will be shared with you within your first week of joining Zetique Inc.

Generous Vacation Time:

 Our vacation policy at Zetique Inc which is shared with you upon your start at our company provides you with the opportunity to take time off and enjoy a well-deserved break.

To request vacation time, simply fill out our user-friendly vacation request form that is also provided to you once you become a member of our dream team. This form helps us streamline the process and ensure that your time off is well-coordinated with the team and business requirements. We encourage you to submit your request in advance, allowing us to plan effectively and provide you with the best vacation experience possible.

Once you submit your vacation request, our team will review it promptly. We strive to accommodate your preferred dates whenever possible, considering the overall team schedule and workload. Our goal is to strike a balance that benefits both you and the organization. Rest assured that we value your time off and will do our best to accommodate your request, providing you with a stress-free vacation experience.

The Journey to Excellence

Our journey is simple and supportive:


Step 1: Personal Growth Map

Should a team member face challenges in meeting Zetique’s high standards, they’ll be provided with a Personal Growth Map. This guide outlines the areas requiring improvement, actions to help meet those expectations, and a timeframe to achieve these milestones.


Step 2: Progress Check-In

After the Personal Growth Map period, a supportive review will be conducted. If the team member has met the expectations outlined in the map, fantastic! If not, we’re here to provide additional support through further Personal Growth Maps or other measures, helping everyone be at their best.


Step 3: Time-Out or Farewell

In instances where performance doesn’t improve following the Personal Growth Map, we may have to consider a time-out (suspension without pay) or a farewell (termination). We understand Zetique’s high demands may not be for everyone, and if the pace doesn’t match with your comfort, this might suggest Zetique might not be the right place for you.


Your Voice Matters (Appeal Procedure)

Our team members always have the right to voice their thoughts on any decision made. If you wish to appeal, please submit your thoughts in writing to our friendly HR department within five working days after the action.

Pre-contract relationship

Step 1: Discovery & Assessment

Our first step is the discovery and assessment phase. During an initial e-meeting, we get to know your business and assess your current accounting practices. Our Sales Representative then uses this information to design a service plan tailored to your needs, including the type and frequency of reports.


Step 2: Setup & Introduction

Once the service plan is agreed upon, we move onto the setup phase. A contract is prepared, reviewed, and signed, setting the stage for our collaboration. Post-signing, you’ll be introduced to your new bookkeeping team through an email and a virtual meet. Your business and job will be added to our internal workflow system, ensuring smooth operations.


Step 3: Integration & Follow-up

Lastly, you’ll receive a Zetique Welcome Package containing a handy guide to what you can expect from our partnership. We’ll schedule regular check-ins led by our Team Support Manager to discuss progress and answer any questions.

Our onboarding process is designed to help you get started quickly and effectively. Here is a general timeline of what to expect:

  1. Account setup: We will set up your Bookkeeping account, you will need to provide us some login information, and we will send you an onboarding manual to guide you through the process.
  2. Onboarding Call: Your onboarding call will provide an opportunity for your dedicated team to discuss your goals, answer any questions you may have, and walk you through our processes. During this call, you’ll be able to provide us with any additional information we may need to deliver our services effectively.
  3. Service Delivery: Once your account is set up and your onboarding is complete, we will begin delivering our services to you.



Here’s a detailed outline of what we’ll be covering in onboarding, from our calls together to the early steps you and your team will take to get up and running with Zetique Inc. We can schedule our calls together sooner than the dates that they’re due — these are simply guidelines to ensure that we have enough time to get through everything we need to in the next

  • From the time you accept the offer, it can take one day.  
  • If you get us everything in a timely manner then we can get you set up quickly.

Required Information

To ensure that we can perform our services in a timely manner, please provide us with all the necessary documents and information as soon as possible. This includes bank statements, receipts, invoices, and other financial records that we require. We understand that sometimes things can slip through the cracks, however, we would appreciate any effort that you could make to provide those documents on time in order for us to assist you better, in case such information is not provided promptly, this can result in  delays on your reports  and/or  additional fees.

Accuracy of Information

We understand that financial matters can be complex, and we are here to help you navigate them. You agree to ensure that all information provided to us is accurate and complete. This includes verifying the accuracy of bank statements, invoices, receipts, and other financial records before submitting them to us.

Fees and Payment

We understand that everyone has different financial situations, and we are committed to being transparent and fair in our pricing. Our fees are based on the value we provide and the time we spend working on your account. We offer different tiers of payment:

  • Monthly
  • Six months
  • Yearly
  • Per project


On time and in accordance with the payment terms outlined in our contract. As a result of payment delays, a suspension of our services will occur until payment is received.
